The department board decides whether additional functions should be included, and if so, which ones. The department board decides whether the recruitment group should be appointed for a certain mandate period, or whether a new recruitment group shall be appointed in each individual recruitment matter. The department's HR function (VHR) provides administrative support to the recruitment group.
Procedure
RC and the departmental recruitment group shall normally have two meetings each in each recruitment matter. The meetings shall be held after the application dead line has expired, and referee assessment of all applications has been completed.
First meeting with the departmental recruitment group
When the reports from the referees has been received, the faculty officer contacts the head of department and VHR. The departmental recruitment committee shall thereafter have their first meeting. The Faculty officer shall be informed when the meeting date has been decided, so that the date first meeting in RC can be planned. The purpose of the departmental recruitment groups´ first meeting is to, based on the appointment profile, applications and the statements from the referees, propose a top group. Included in the assignment is to make sure that the applicants have submitted documentation of having obtained a doctoral degree. Applicants must, in order to be eligible, have obtained a doctoral degree before the end of the application period. When recruitment of an assistant professor, it must also be noted which applicants have obtained a doctoral degree within five years from the end of the application period. The departmental recruitment groups´ proposal shall be presented by the subject representative 1 (rapporteur) during the first meeting in RC.
First meeting with the recruitment committee
As soon as the faculty officer has been informed about the date for the first meeting in the departmental recruitment committee, the matter will be planned for a first meeting in RC. RC shall, on basis of the appointment profile, applications and the statements from the referees, decide which applicants to invite. The recruitment committee shall prior to their decision take into account the proposal from the departmental recruitment group. The faculty officer starts to plan for the second meeting in RC (e.g. interview procedure) in connection to the first meeting in RC. When the program for the RC interview procedure is set, the faculty officer sends it to the head of department and VHR. The recruiting department is responsible for the booking of travels and accommodation for the invited applicants and the referees, and for activities outside the RC program. The recruiting department shall also appoint hosts who shall contact the invited applicants and the referees in good time before the interview procedure.
Second meeting with the departmental recruitment group
When the date of RC´s second meeting is decided, the departmental recruitment group needs to decide the second meeting so that it can be held prior to the second meeting (interview procedure) in RC. The purpose of the departmental recruitment groups´ second meeting is to prepare for the interview procedure. Preparation should also include, in those cases where the opportunity has been given in the announcement, check whether any of the invited applicants has requested direct promotion to professor.
Suggestion for further preparations:
- Discuss what activities to plan for the applicants (besides RC´s program), if it´s not already decided.
- Take references, which shall be documented, registered, and made available for RC prior to their second meeting.
- Think about what questions to ask the invited applicants during the interviews.
- Etc.
Second meeting with the recruitment committee
Conduct pedagogical test lectures, research presentations and interviews (no pedagogical test lectures when a professorship) with the invited applicants. The referees shall normally be present.
At the subsequent meeting, the recruitment committee shall, on basis of the appointment profile, applications, the statements from the referees, the pedagogical test lectures, the research presentations and the interviews, decide on a ranking of the applicants.
