FAQ
ONLINE COURSE
Q: Can I watch the "Get Started" course online?
A: Yes, you can view the course here (recorded on Nov. 8, 2019)
ACCOUNT
Q: Can I bring in a non-Uppsala Univ. person to a Zoom meeting, such as a guest expert?
A: Anyone can join a Zoom meeting if you have set up your meeting in that way (see settings on your profile page). People without Uppsala log-in credentials are not able to create meetings as meeting host, however, a participant can be made a co-host during the meeting.
Q: How do you make sure you are hosting the meeting via UU?
A: By first logging in through https://uu-se.zoom.us with your UU credentials. If you have a previous non-UU Zoom-account, contact support for help with registering your UU Zoom account.
HOSTING A MEETING
Q: If we have already created a room and have a link, can we make changes to the settings (e.g. add "mute participants upon entry")
A: Yes, you can edit the settings for any meeting you have created from http://uu-se.zoom.us.
Q: We can invite anyone externally; what if we have participants ending up in the room that should not be there? Can the host remove/block participants?
A: Yes, the host can remove participants from the meeting from the Manage Participants list.
Q: I have tried to add other UU emails as co-hosts, but I received a message saying that it was not possible to schedule the meeting because the other host emails are not from the same organisation. Do you know why I got this message?
A: Only "@uu.se" emails can be made co-hosts from the scheduling window.
Q: I would like to see an example of how to make someone co-host, I have only been able to pass over the host position, but it would be great to have multiple cohosts.
A: When you create the meeting at http://uu-se.zoom.us you can invite others with Uppsala University credentials to be co-hosts by entering their e-mail addresses
Q: When you hold a meeting, do you have to have all microphones off? Could you also choose how to mute some particular participants (but not all)? (I mean, you might want to let the chair of a meeting to be able to interrupt while you’re presenting.)
A: No, the host can choose whether or not to allow microphones on or off in the settings for the meeting. During the meeting the host can unmute participant microphones.
Q: If someone has unmuted themselves, can you force them to mute if they are disrupting the event?
A: Yes. It is also possible to set up the meeting so that participants cannot use the microphone at all. As host, you can also mute all participants with one button.
PRESENTING
Q: Can only hosts share screens? (in ref to alternative host option - multiple hosts possible or only one at the time?)
A: It is possible to have two screens shared, although not optimal if someone is using a mobile device or has a small monitor.
Q: In a lecture, would you recommend taking questions using the chat or by every participant using their voices (first raising their hands)? What is best?
A: It depends on the number of participants. With 15-20, you could try taking a pause after a bit and allow participants to ask questions. However, if you have a large group, we suggest asking someone to monitor the chat and read questions out loud at a specified time.
Q: Does Zoom support Sharing Screen with Prezi presentation program - or will it Crash? Since Prezi needs increased "computer power"?
A: It should not be a problem to use Prezi. You would use the Share button to share your web browser.
Q: Is there a way to summarise the “Yes / No” answers? I mean provide a total count, or percentages?
A: No, however, the Polls function could be used to achieve that goal.
Q: Can I stream from an iPhone camera on part of the screen and have a Powerpoint at the same time.
A: No, while it is possible for hosts to allow multiple participants to share their screens simultaneously, this does not work for sharing from mobile devices.
Q: When sharing the Whiteboard, can all the participants write on it?
A: Yes, if the host allows it.
Q: Can I use the "Breakout Room pre-assign" function in the application? (I cannot see the function in the application.)
A: You must first enable the breakout room function. Look at "settings" when logged on to your Zoom account page uu-se.zoom.us.
RECORDING
Q: Can anyone record the meeting? (Could the students be recording us?)
A: The default setting is that only the host or co-host can record meetings. However, a host can designate a participant to record a meeting.
Q: Where does the recording file stored? Locally?
A: Yes, they are stored locally, normally you can find them in the Documents>Zoom folder, arranged by meeting date.
Q: How do I share the recording file with the students in the best way?
A: There are a few options. You could upload the recording file to MedFarmPlay or YouTube and then share or embed the link on the learning platform, or you if the file is small, upload it directly to the Student Portal or Studium.
Q: How big is the file? Can I upload it to "the box" that Uppsala use?
A: File size depends on the length of the recording. While it is possible to upload recordings to Box and then share a link with students, the student would then need to first download the entire file before being able to view it. Usually it is better to use one of UUs streaming services.
PARTICIPANT/STUDENT
Q: I am sitting in a room at UU and just downloaded Zoom this morning, and now when I open it it takes me directly to this conference, there was no option to log in with my university ID, do I appear as a guest? How do I log in?
A: You entered as a participant, which does not require an account. To register and log in to your own Zoom account, go to https://uu-se.zoom.us.
Q: How can a person notify the host of her voice is fading or another technical error when the participants are muted?
A: Try sending a message using the chat. Another alternative might be using the raise-hand function.
Q: Where is the Raise Your Hand button?
A: Open the Participant window to see the Raise-hand button.
